What will you do?
As an Administrative Assistant at Chiesi, you will support a full department within our Benelux affiliate. You are an essential link in organizing appointments, meetings, and events. Additionally, you are responsible for various administrative and secretarial tasks.
Your responsibilities include:
- Organizing and preparing appointments, meetings, and events. You prepare agendas, take minutes, and carefully follow up on action points.
- (Financial) Administration: You manage the complete Purchase Request (PR) / Purchase Order (PO) process and ensure seamless handling of financial-administrative tasks, including data collection, preparing reports, and drafting contracts.
- Project management: You oversee the entire contract lifecycle: drafting, managing the signing process, and monitoring deadlines.
- Event organization: You coordinate conferences, events, and training sessions. From budget management to logistics coordination and vendor agreement, you handle everything down to the finest detail.
- Front desk support (1 day per week): You are the face of Chiesi for clients, suppliers, and visitors. With your professional and warm welcome, you ensure an excellent first impression.

Who are we looking for?
A driven and structured professional with an eye for detail and a knack for numbers. You are service-oriented, communicate clearly, and proactively think along.
What do you bring?
- At least 3 years of experience in a similar position, preferably in the pharmaceutical or medical devices industry.
- Experience with methodical and project-based work approaches and project coordination.
- Knowledge of and experience with CRM/ERP systems and financial administration (preferably SAP).
- Excellent oral and written communication skills in both Dutch and English.
