Chiesi is seeking a (Financial) Administrative Assistant to join the Benelux affiliate. This support role offers a great opportunity for an energetic assistant with organizational talent. What will you do?

 

As an assistant at Chiesi you will provide secretarial support to the assigned departments. You will plan and prepare appointments, meetings and events initiated by the department. You will prepare the agenda and keep the minutes during the meetings. Next to that you will arrange for hotel reservations and business trips. 


You are responsible for the (financial) administration of the business unit. You take care of the complete Purchase Request (PR)/Purchase Order (PO) process and handle all financial-administrative matters, including data collection for reporting purposes and preparing the reports. 


You will be involved in the conferences, events and training courses. Preparing and monitoring budgets for events & conferences conform legal requirements. You will take care for agreements and (sponsoring) contracts. You will take care of the logistical organization and procurement of the required products and services and put together travelling programs. You will support the RD department with creating marketing materials and digital activities. In the end you will take care of the invoicing process and monitors payments for these events.

Who are we looking for

 

Someone with energy and good organizational skills. You take responsibility, operate efficiently and accurately. You have feeling with numbers and you know how to find your way in ERP/CRM systems. Organizing and planning is your second nature and you are structured and service orientated. Pro-active communication and accuracy are key for this role. You have also:

  • (Financial) Administrative education
  • Minimum of 3 years of working experience in a similar position, preferably in the pharmaceutical and/or medical devices industry;
  • Experience with methodological and project-based working approaches and project coordination;
  • Knowledge of and experience with CRM/ERP systems and Financial Administrative systems (preferably SAP);
  • Knowledge (affinity) of and experience with digital activities such as LinkedIn;
  • Excellent oral and written communicative skills in both Dutch and English;
